Assigning Tasks Using Skills, Roles, and Role Levels to the users.


You can use Skills, Roles, Role Levels, or a combination of these to assign tasks to users. These criteria help ensure that tasks are assigned to users based on their skills, responsibilities, and experience level.


Skill-Based Task Assignment


If you want to use Skills for task assignment, first create the required Skills and assign them to the appropriate users. When assigning a task, the system checks the Skills associated with the task and the user's assigned Skills.


The following conditions are considered during skill-based task assignment:

  1. Matching Skills: If the task and the user have the same Skills, the task is assigned directly.
  2. Different Skills: If the Skills assigned to the task and user do not match, an alert message is displayed indicating that the required Skills are not available for the user. You can choose whether to proceed with the assignment.
  3. No Skills Assigned: If neither the task nor the user has any Skills assigned, the task is assigned directly.
  4. Skills on Task Only: If Skills are assigned to the task but not to the user, an alert message is displayed before assigning the task.
  5. Skills on User Only: If the task has no Skills assigned but the user has Skills, the task is assigned directly.


Role and Role Level-Based Task Assignment


You can also use Roles and Role Levels to determine whether a task is appropriate for a user. When assigning a task, the system checks the Role and Role Level associated with the task against those assigned to the user.


The following conditions are considered during Role and Role Level-based task assignment:

  1. Matching Role and Role Level: If the task and the user have the same Role and Role Level, you can assign the task directly.
  2. Different Role or Role Level: If the Role or Role Level assigned to the task and user do not match, an alert message is displayed before assigning the task.
  3. No Role or Role Level Assigned: If neither the task nor the user has a Role or Role Level assigned, you can assign the Task directly.
  4. Role and Role Level on Task Only: If the task has a Role and Role Level assigned but the user does not, an alert message appears before assigning the task.
  5. Role and Role Level on User Only: If the task has no Role or Role Level assigned but the user has them, you can assign the task directly.


Note: If you want to use both Skill- and Role-based task assignment, make sure the required Skills, Roles, and Role Levels are assigned to both the Tasks and Users before assigning tasks to users.
